11 Tools We Use To Run Our Fitness Studio
The must-have tools behind our studio’s success (and how we use them)
Dear Fitpreneurs,
When most people think about opening a fitness studio, they get stuck on tools.
"Which CRM is the best?"
"Do I need scheduling software?"
"How much tech is too much?"
Here’s the truth: you don’t need a complicated tech stack to run a great studio. Simple tools, used well, can take you a long way.
Here are the 9 tools we rely on to run Revamp, ranked by price:
1. Facebook & Instagram
PRICE: FREE
These are our go-to platforms for organic marketing. We follow our Weekly REPS strategy, posting a mix of photos and videos ~3 times per week.
Henry, our Creative Lead, runs this, and the focus is simple: show the human side of our business, keep our audience engaged, and build trust.

2. WhatsApp Communities
PRICE: FREE
We use WhatsApp Communities to segment conversations by studio. Each location and team has its own space, allowing us to stay updated on studio-specific updates. For us, it’s an easy way to keep communication focused and uncluttered.
3. Tally
PRICE: FREE
If we ever need a form built fast, Tally is our go-to. Whether we’re collecting member feedback, organising event sign-ups, or gauging interest for events, Tally gets it done quickly. It’s simple to use and offers more flexibility than some CRM platforms.
4. Shopify Starter
PRICE: £5/MO
Merchandise was a headache when we managed orders manually. As we grew, it became unsustainable.

Now, Shopify Starter* handles all our merch sales. It streamlines orders directly with our supplier and makes the entire process smoother for us and our members.
5. Google Workspace
PRICE: £10/MO
Google is the backbone of our internal operations. Here’s what we use it for:
Gmail: Formal communication with members and prospects
Sheets: Tracking daily metrics, finances, and merchandise
Docs: Writing video scripts and drafting training programmes
It’s reliable, cost-effective, and keeps everything in one place.
6. Notion
PRICE: £10/MO
If you haven’t guessed, we’re a little obsessed with Notion*.

Everything we need to run and scale Revamp is here:
Email templates
Meeting summaries
SOPs and playbooks
Performance metrics
Swipe file of ads we like
Customer feedback logs
When new studio owners sign up for our coaching, they get access to our Launch Plan and Gym HQ dashboards—giving them a professional operating system from day one.
7. Descript
PRICE: $12/MO
Descript* is my go-to for video transcription and fast editing.
I use it to:
Transcribe testimonials
Identify patterns in member feedback
Search for key phrases (great for ad copy inspiration)
It’s saved me hours and helps us create better, more targeted content across all platforms.
8. Canva
PRICE: £13/MO
Canva makes it easy to create professional designs without a design background. We use it for ad creative, promotional materials, and sales decks. It’s fast, versatile, and a must-have for any small business.

9. ChatGPT
PRICE: $20/MO
Most people know ChatGPT, but few use it to its full potential.
Here’s how we leverage it:
Brainstorming ideas
Repurposing ad copy and emails
Crafting Google Sheets formulas
Turning transcripts into fully-built SOPs
It’s a game-changer, saving us time and helping us execute faster.

We often use transcripts from real members to help with our ads
10. LegitFit
PRICE: £29/MO
LegitFit* powers our timetable and booking system. It’s straightforward for members, reliable for us, and backed by excellent customer support. The branded mobile app is pretty cool too, giving us extra credibility when members book sessions.
11. LeadDec
PRICE: £147/MO
This CRM platform* is where we handle all our marketing. From automations to funnels, it’s designed to keep our sales process efficient.

We also integrate it with WhatsApp to send messages to prospects as soon as they opt-in.
When Fitpreneur clients choose LeadDec*, they gain full access to our entire snapshot, including all our automations and funnels—ready to use from day one.

Want to launch your own fitness studio?
A few weeks ago, we introduced our reimagined coaching programme, Launch Kit.
It’s designed to help you open and fill your studio to capacity before you open your doors. It’s the exact process we’ve used to launch and fill both of our own studios—and now, we’re sharing it with a small group of clients.
We’re keeping this programme limited to just 10 spots, so if this sounds like the right move for you, join the waiting list to be the first to know when spaces open.
